When you book, you will receive a General Information Booklet from us, which can act as a guide for pre-holiday preparation – but here’s a quick round up of the sortof thing you may like to think about.
Where are you going ?It is always a good idea to read up about the country you are visiting before you go - there is useful travel advice from the Foreign and Commonwealth Office’s Travel Advice Unit by following this link.
Passports & VisasIt’s important to make sure your passport is valid and in date and if you need a visa for the country you’re visiting, you make all the necessary arrangements. We can provide you with all the information you need and, for some holidays, we can process visa applications for you. If you need to apply for a new passport or a visa, please allow plenty of time before your departure date to ensure you have them in time.
The UK Foreign & Commonwealth Office (FCO) maintains details of the passport and visa requirements for British Citizens travelling overseas together with up to date travel advice relating to your destination.

CurrencyForeign exchange
Although travellers’ cheques are probably the most secure way to take your money abroad, they can often be difficult to change, especially in the locations we visit. Most places have ATM machines to enable you to withdraw cash using your credit or debit card. We recommend that you take a small amount of foreign currency in cash for immediate use.
Currency tips
- Make sure you have enough to cover emergencies.
- Carry only as much money as you need for the day.
- If you have to carry a lot of money ask your partner or a friend to carry some for you.
- Use a money belt or secure inside pocket.
- Leave the rest in a hotel safe.
- Check the expiry dates on your credit cards.
- Make a separate note of their numbers.
- Don’t carry all your cards with you - leave at least one in the hotel safe.
- Make a note of the emergency telephone number for cancellation. Also consider a credit card protection policy.
- Check your credit card is accepted in the country you are visiting - in some countries you may not be able to use any credit cards.
- In addition, your bank, the national press, Teletext or various financial websites all provide up to date information on exchange rates.
Travellers with disabilitiesWe want to ensure that our holidays are accessible to as many people as possible. We also recognise that the term ‘disability’ covers a broad range of impairments, many of which have no impact on mobility or the ability to participate in our holidays. The nature of our holidays does mean however, that some will not be accessible to certain disabled people.
We are always happy to discuss any disability-related needs with you and will make all reasonable adjustments to accommodate them if full details are provided in writing at time of booking. In general, for safety reasons, we ask that all participants are able to cope reasonably with the demands of the holiday arrangements without assistance from our tour leader or other member of the group not travelling with you.
If we feel that we cannot meet your needs, we reserve the right to decline your booking. In addition, if, after booking your holiday, a disability-related additional need becomes evident that we cannot properly accommodate, we reserve the right to cancel your reservation. If you would prefer a free copy of our brochure on CD, please ask.
CHECKLISTHere’s a handy checklist of information to take with you which might be useful in case of emergency
- Your passport (make sure it’s valid and it’s yours!)
- If you are visiting or transiting the US, please ensure that you are aware of the current entry requirements (they’re reviewed and changed frequently and often without warning!) - don’t forget to ensure that you have a valid ESTA before travelling to the airport.
- Your travel tickets (or e-ticket itinerary)
- Any visa or tourist card (if required)
- Your holiday money (currency, credit & debit cards or travellers’ cheques - including a separate list of credit card numbers or traveller’s cheque numbers)
- Car parking ticket (if pre-booked) and directions to the car park
- Coach or rail tickets (if travelling to your point of departure by prebooked public transport)
- Your confirmation of booking , and any other correspondence confirming prepaid or prearranged travel arrangements
- Your insurance details: Insurance company name, policy number, date of issue and telephone number as well as the name and 24 hour phone number of the Emergency Assistance Company provided by your insurer (details will be on your policy paperwork)
- An alternative form of identification (such as a driving licence) and a photocopy of the pages of your passport containing your personal details and photograph (this will assit you in obtaining replacement documents in case of passport loss).
- A valid European Health Insurance Card (EHIC) if travelling to a participating country - check its expriy date in good time!
- Telephone numbers to call if you need to cancel lost or stolen credit or debit cards or travellers’ cheques.
- The name, surgery address and telephone number of your GP (for use by an overseas doctor or your insurance company in an emergency)
- Details of a relative or close friend who should be notified in case of emergency.
- Details of any medical conditions or allergies that your tour leader should know about.
